Most ethics committee feedback comes from the same handful of gaps. Use this checklist to fix them before you submit.
- Protocol matches submitted methods and sample size
- Consent form in plain language, plus local-language version
- Assent form for minors (where applicable)
- All data collection instruments attached, in submitted languages
- Investigator CVs and GCP/research-ethics certificates
- Data management plan: storage, access, retention, disposal
- Risk-benefit analysis for participants
- Compensation amounts justified and proportionate
- Budget consistent with protocol and workplan
- Support letters from study site(s) and supervisor
- UNCST registration plan after REC approval

- What documents do I need to submit?
- Protocol, consent forms (and translations), assent forms where relevant, data collection tools, CVs, budget, support letters and an ethics application form.
- What is UNCST and do I need approval?
- The Uganda National Council for Science and Technology registers most research with human participants. After REC clearance you must register with UNCST before fieldwork.
- How long does ethics approval take?
- Plan for 6–12 weeks from first submission, including revisions. Strong applications turn around faster.
- Do I need translated consent forms?
- Yes: into every local language your participants speak. Use a certified translator and back-translate.
- What about data protection?
- Describe how you will store data, who has access, how long you will retain it, and how you will dispose of identifiers.
